How do VFS Global appointments work in South Africa?

VFS Global is the company that collects visa applications on behalf of the Department of Home Affairs. You don’t deal with Home Affairs directly — you book an appointment with VFS, hand over your application and documents, give your biometrics, and pay the government fee. Here’s how that works in practice.

What VFS Global actually is

VFS Global is an outsourcing partner for the Department of Home Affairs (DHA). Their job is administrative: they receive your application, capture your biometrics (fingerprints and a photo), collect the fees, and pass everything to DHA, who make the actual decision. VFS does not decide your application — they process it.

Booking an appointment

Appointments are booked through the official VFS Global South Africa website. You create an account, select the visa category, choose your nearest centre, and pick a time slot. Slot availability varies a lot by city and time of year, so book as early as you can — especially if your visa is close to expiry.

You’ll pay the VFS service fee online or at the centre, and the application fee at the centre. Together these come to R580.

What to bring

  • Your printed, completed application form
  • Your covering letter, signed
  • All your supporting documents, in order — see the full requirements checklist
  • Your passport
  • Means to pay the R580 fee

Bring originals and a printed set. A package that’s already ordered and complete makes the counter visit fast and calm.

What happens at the counter

A VFS agent checks your documents are present and correctly completed, captures your biometrics, takes the fee, and gives you an acknowledgment receipt. They do not assess whether your application will succeed — that’s DHA’s job afterwards. Keep your acknowledgment safe: it’s your proof that you applied on time.

VFS centres by city

VFS operates visa application centres in the major cities, including Cape Town, Johannesburg, Pretoria, Durban, Port Elizabeth (Gqeberha) and a few others. Walk-in availability is inconsistent — some centres accept them when quiet, others require a booked slot — so a booked appointment is always the safer bet. Your prepared package from us includes the current process for your city.

After you submit

DHA processes the application and issues a decision; this typically takes several weeks. Importantly, your current visa generally remains valid while a timely extension application is being processed — your acknowledgment receipt is the proof. Frequently asked questions

Do I have to go to VFS in person?

Yes. Biometrics must be captured in person, so you attend a VFS centre to submit, give fingerprints and a photo, and pay the fee — regardless of who prepared the application.

Can I walk in without an appointment?

Sometimes, but it’s unreliable — walk-in availability varies by centre and day. A booked appointment is strongly recommended, especially near your expiry date.

Does VFS decide my application?

No. VFS only collects and processes the application. The Department of Home Affairs makes the decision afterwards.
